PROFILE SUMMARY

 

Wesgroup is poised for substantial growth over the next several years and in preparation for this exciting and challenging phase, we are actively seeking a highly engaged, driven and experienced Property Administrator to join our team. 

 

The Property Administrator is an integral part of the team, interacting with Property Managers, Accountants, Technicians and tenants to support the administration for our commercial properties. The Property Administrator will manage a variety of property management tasks, as well as manage the Online Service Centre and Hotline. This role will report to the Property Manager.

 

KEY ACCOUNTABILITIES

 

  • Preparing and sending correspondence to tenants and contractors such as eviction notices, operational notices, and other correspondence that may arise from the management of the buildings and tenants.
  • Review accounts receivable ledgers and contact tenants to collect rent in arrears and any other expenses or chargebacks on a monthly basis.
  • Distribute yearly Common Area Maintenance (CAM) reconciliation letters and rental statements.
  • Update and set-up the tenant directory, on-call binder, property tax/assessment binder, accounts with contractors, Telus/Hydro/Fortis list, notice distribution list, tenant, and vendor Certificate of Insurance (COI) and Workers Compensation Board Certification (WCB).
  • Coding of all Income Producing Property invoices in Yardi, including purchase orders.
  • Occasionally acting as a backup to the Property Manager with attending viewings and meeting tenants and vendors.  Additionally, assist Property Managers, Operations team and Director when required.
  • Coordinating and managing the access control and surveillance system for various properties.
  • Creating and circulating all meeting minute materials.
  • Coordinate bailiff action or collections, if required.
  • Tracking and distributing all chargeback invoices and property tax invoices.
  • Track all changes to Electronic Funds Transfer (EFT) payments.
  • Review tenant’s insurance certificates to meet requirements to leases and renewals.
  • Prepare deposit refund forms and cheque requisitions.
  • Schedule vendors for repairs and maintenance.
  • Complete tenant information change forms.
  • Set up of new utilities (Telus/Hydro/Fortis) for new buildings and projects.

 

 

QUALIFICATIONS, KNOWLEDGE & EXPERIENCE

 

  • 1-2 years of experience in a property management administration or support position.
  • Excellent organizational, time management and prioritization skills including the ability to multi-task with competing priorities.
  • Excellent understanding of business professionalism and the ability to work effectively under pressure within a fast-paced team environment.
  • Exceptional interpersonal and communication skills (both verbal and written) are required.
  • Positive attitude and a desire to help others.
  • Excellent proficiency in MS Office applications including Outlook, Word and Excel.
  • Working knowledge of Yardi (accounting/expense management software)and Angus (tenant service request portal) are considered be beneficial.

 

EXPECTED CAMPENSATION

 

  • The expected salary range for this role is $50,000 - $55,000 per annum.  Actual offered salary will depend on individual experience, qualifications, geographic location, market conditions for the role, and internal equity.
